Request
by the Board
o Schedule all maintenance for
general repair, grounds and buildings.
o Attend Board Meetings, Annual
& Special Meetings.
o Maintain a current owner
roster (update as necessary)
o Send e-blast (emails) as
needed

o Other tasks as may be mutually
agreed.
Quotes
& Estimates
Assist Board in obtaining qualifying bids from contractors,
insurance agents, and other related parties on all major
jobs, negotiate terms & prices.
Emergencies & Concerns
Handle all complaints & concerns, provide 24- hour
emergency availability service.
Accounting
Collect association dues, special assessments, late fees
and any other monies due the association, prepare
late notices, provide coupon payment books or make
arrangements for direct deposits. Coordinate Claim of Liens
with associate attorney, Prepare violation notices.
Maintain association dues in Homeowners Association bank
account.
Track monthly and year-to-date cash flow vs. budget.
Prepare
quarterly financial statements to the Board.
Pay vendors, insurance, and other expenses relating to the
property.
Provide accounting information as needed by the Board.
Prepare and assist in preparation of any required tax
returns and file
End of the year - provide 1099’s to vendors
Property
Check
Check on property periodically to ensure compliance with
rules, regulations, and by-laws of the complex.
Prepare violation notices & letters and assess fines in
accordance with the governing documents.
Annual Meeting
Assist the Board in preparing a proposed
budget for the next year and review with the Board at its
meeting for approval prior to mailing to the homeowners
with the Annual Meeting Notice. Prepare the Annual Meeting
Notice, and the following enclosures for mailing on the
schedule required by the Covenants, Restrictions, and
By-Laws. The Proxy Statement Act as Secretary at the Annual
Meeting; prepare the minutes and distribute them and any
other material needed as a result of actions at the Annual
Meeting.
